Know Your Customer (KYC) procedures help POLONNE.TRADE protect users, prevent financial crime, maintain platform security, and comply with applicable legal and regulatory requirements.

1. Purpose of KYC

POLONNE.TRADE may require users to complete identity verification before accessing certain products, services, transaction limits, or account functions.

KYC procedures are designed to help establish the identity of customers, detect suspicious activity, prevent fraud, support Anti-Money Laundering (AML) controls, and protect the integrity of the POLONNE.TRADE ecosystem.

2. Who May Be Required to Verify

KYC requirements may apply depending on the user's account, country, activity, transaction volume, product usage, risk profile, or applicable legal requirements.

  • Users requesting access to products or services that require identity verification.
  • Users reaching applicable transaction or withdrawal thresholds.
  • Users requesting increased account or transaction limits.
  • Users whose activity requires additional verification under risk-based controls.
  • Users selected for enhanced due diligence or periodic review.
  • Corporate, institutional, or other business customers where applicable.

3. Information We May Request

Depending on the applicable verification level, POLONNE.TRADE may request information reasonably necessary to verify identity and assess account risk.

  • Full legal name.
  • Date of birth.
  • Country of residence and nationality where required.
  • Residential or registered address.
  • Government-issued identification information.
  • Identity document images where required.
  • Selfie or liveness verification where required.
  • Additional information concerning the source or purpose of funds where required.
  • Business registration and ownership information for eligible corporate accounts.
Important: POLONNE.TRADE will only request information that is reasonably necessary for verification, compliance, security, or legally required purposes. Users should never provide passwords, private keys, seed phrases, or authentication codes as part of KYC verification.

4. KYC Verification Process

The verification process may vary depending on the user's account type, jurisdiction, risk profile, and services being accessed.

1

Provide accurate personal or business information requested by the verification process.

2

Document Submission

Submit an acceptable identity document when required.

3

Verification Review

Submitted information may be reviewed using automated and/or manual verification procedures.

4

The account may be approved, rejected, or subject to additional verification.

5. Identity Document Requirements

Where identity documents are required, users should provide valid, authentic, readable, and unaltered documents.

  • The document must be valid and not expired unless otherwise permitted.
  • The submitted information must match the information provided on the account.
  • Images must be clear and sufficiently readable.
  • All relevant document details must be visible when requested.
  • Documents must not be edited, manipulated, or digitally altered.
  • POLONNE.TRADE may reject documents that cannot be reliably verified.

6. Enhanced Verification

POLONNE.TRADE may request additional information or documentation where increased due diligence is appropriate.

Enhanced verification may be requested because of transaction activity, account characteristics, jurisdictional requirements, sanctions screening, unusual activity, source-of-funds considerations, or other compliance indicators.

  • Source of funds or source of wealth information.
  • Purpose of transactions or account activity.
  • Additional identity or address verification.
  • Business ownership or control information.
  • Additional documentation reasonably required for compliance review.

7. Failed or Incomplete Verification

A KYC verification request may be unsuccessful if information is incomplete, inconsistent, inaccurate, unreadable, expired, or cannot be reliably verified.

Where appropriate, users may be given an opportunity to correct the information or submit additional documentation.

POLONNE.TRADE may restrict certain account functions while verification remains incomplete or where continued access would create compliance, security, or legal concerns.

8. Ongoing Verification

KYC is not necessarily a one-time process. POLONNE.TRADE may periodically review customer information and request updated documentation when reasonably necessary.

  • Customer information may need to be updated when circumstances change.
  • Expired identification documents may need to be replaced.
  • Higher-risk activity may trigger additional verification.
  • Regulatory or compliance requirements may require periodic reviews.

9. Third-Party Verification Providers

POLONNE.TRADE may use specialized third-party identity verification, compliance, fraud prevention, or sanctions-screening providers where appropriate.

Such providers may process verification information on behalf of POLONNE.TRADE in accordance with applicable agreements, security requirements, and data protection obligations.

10. Data Protection and Privacy

KYC information is treated as sensitive account information and should be handled using appropriate technical and organizational safeguards.

Personal information may be processed for identity verification, fraud prevention, AML and sanctions compliance, account security, legal obligations, dispute resolution, and other legitimate operational purposes.

Additional information about personal data processing is available in the POLONNE.TRADE Privacy Policy.

11. Confidentiality and Security

Access to KYC information should be limited to authorized personnel, systems, service providers, or authorities where access is necessary and legally permitted or required.

POLONNE.TRADE may disclose information where required by applicable law, court order, regulatory request, law-enforcement request, or other valid legal process.

Security warning: POLONNE.TRADE will never require users to disclose their cryptocurrency private keys, seed phrases, account passwords, or one-time authentication codes as part of the KYC process.

12. Identity Misuse and Fraud

Users must not submit documents or personal information belonging to another person, use fraudulent documents, impersonate another individual, or attempt to bypass the verification process.

Suspected identity fraud, document manipulation, account takeover, or other abusive behavior may result in account restrictions and may be reported to appropriate authorities where required or permitted by law.

13. Corporate and Business Accounts

Business or institutional customers may be required to provide additional information concerning the legal entity, registered address, directors, beneficial owners, authorized representatives, and business activities.

Additional verification may be required depending on the nature and risk profile of the business relationship.

14. Jurisdictional Restrictions

KYC requirements may differ depending on the user's jurisdiction and the products or services available in that jurisdiction.

Certain services may be unavailable to users located in jurisdictions where offering those services would be prohibited, restricted, or subject to requirements that POLONNE.TRADE cannot satisfy.

15. User Responsibilities

  • Provide truthful, accurate, and complete information.
  • Keep account and personal information up to date.
  • Submit only authentic documents belonging to the account holder.
  • Respond to reasonable verification requests.
  • Protect account credentials and authentication methods.
  • Notify POLONNE.TRADE if account information may have been compromised.
  • Do not attempt to bypass or manipulate verification controls.

16. KYC and AML Compliance

KYC procedures form part of POLONNE.TRADE's broader compliance and financial-crime prevention framework.

Depending on applicable requirements, POLONNE.TRADE may conduct customer due diligence, sanctions screening, transaction monitoring, enhanced due diligence, suspicious activity reviews, and other appropriate controls.

For additional information, users should review the POLONNE.TRADE AML Policy.

17. Account Restrictions

POLONNE.TRADE may temporarily or permanently restrict certain account functions where required for security, compliance, legal, or risk management purposes.

Restrictions may include limitations on deposits, withdrawals, trading, transfers, account access, or specific products until the applicable review has been completed.

18. Changes to This KYC Policy

POLONNE.TRADE may update this KYC Policy from time to time to reflect changes in applicable law, regulatory expectations, security practices, products, or internal compliance procedures.

The latest version published on the POLONNE.TRADE website will apply from its effective date.
